Clients can obtain more information on production guidelines and protocols from the secure area on this site. The following is a summary of the consent agreements and articles that all parties need to be informed of, and agree to, before work commences. They are to be translated into all languages spoken by the individuals and communities we work with.

• Film texts, and all other information and media, are not collected and are not available for public distribution or viewing without prior informed consent of all individuals and communities represented.

• Clients, participating individuals and communities shall be kept fully informed about the intended use of the media.

• Communities need to have thoughtfully considered any implications that may arise from the use of media. If necessary, contracts can be entered into with communities, stipulating their specific requirements covering the use of the media. Individuals, communities and other stakeholders can place caveats, or embargos, on the use of media.

• Permission and consent to participate in films and other media is obtained from individuals, communities and other stakeholders before production commences.

• Location clearances are obtained before filming commences at any location.

• Before any media is used, participants are shown the final production and must give consent for its further use. They may also stipulate how it can be used.

• Traditional ceremonies and practices will only be filmed and included in any media produced after the express permission of the responsible individuals and communities has been granted prior to filming.

• VIAfilm will not collect or record any offensive material.

• VIAfilm will not collect or record any culturally sensitive material without the express permission of responsible individuals or communities. The use of such recordings will be directed by the responsible persons or communities.

• Oral histories and other material of cultural value will be stored by the client on behalf of the community. The community will direct how this information is stored and used.

• Communities and individuals can request additional privacy measures to be taken in relation to their participation in our work.

VIAfilm may collect, use and store personal and sensitive information in relation to the submission of project proposals and communications with clients.

VIAfilm recognises and values the protection of your personal information and is committed to meeting the requirements of the Privacy Amendment (Private Sector) Act 2000 and all relevant privacy laws and regulations in Australia. VIAfilm has implemented a policy to describe the means of collection, use, storage and access of any personal or sensitive information received by VIAfilm from you.

What information do we collect?

When providing us with your personal information, we will inform you of how that information will be used. Types of personal information we collect are:

• reports and data made freely available by clients in the course of our work
• media related to our work with you, for the purposes of carrying out our Terms of Reference and contracts.

All of this information is deemed to be entirely confidential and is maintained only through necessity and when you give us your express consent to collect and store that information. We will keep your information collected from you strictly confidential and will not disclose or pass the information onto any third parties, other than those who are contracted by us to keep the information confidential. We will only pass information onto third parties where we know information is subject to a statute or a scheme that imposes similar restrictions to the National Privacy Principles contained in the Privacy Act.

We may disclose personal information we collect from you for the purpose specified to you at the time of collection if: you would reasonably expect us to disclose it for that purpose; and that purpose is related to the purpose specified to you at the time of collection.
